Time Windows specify the acceptable time frame to arrive at a given stop. This is expressed in the Road Warrior app as Schedules and Availability.
Schedules are a great way to customize your route to accommodate complex timing needs while still creating the fastest route. There are two ways to create schedules: either as an One-Time schedule that applies to only one Stop, or as a standard schedule that you can apply to multiple Stops.
Here are some common reasons why folks create Schedules:
- My Priority deliveries must be made between 7am and noon.
- I have to deliver one package at a specific time.
- I can only visit certain clients in the afternoon.
A One-Time schedule is a schedule you create for use on one Stop only. One-Time schedules can be added directly to a Stop by clicking on the pin and selecting Add Schedule, then Create One-Time Schedule. From there you can select the time window. Adjust the priority slider and click the check mark to save.
A standard schedule is a schedule that is saved so it can be applied to multiple Stops or Stops you want create in the future. Add a standard schedule and view your saved schedules by clicking Schedules in the left hand menu bar. Click on the New Schedule bar at the bottom of the screen to add a new schedule and set the priority level to the right (red) if the Stop must occur within the time window.
How to use Priority Level
Every schedule is assigned a priority level. The priority slider is a scale from low priority on the left (blue) to high priority on the right (red). If your Stops must occur in the time window, mark them as high (red) priority level. If the time window is more flexible and you don't want to go out of your way to visit the Stop within the time window, mark it as a lower priority.
Why assign a lower priority level to a schedule?
In addition to a few Stops that must occur during a specified window, you may have many others that you’d like to complete during that time window, but it may not be feasible to visit all of them in the window. Or, you might ideally like to visit a stop during a time window if it conveniently fits into your route, but you don't want to pass up other stops that are close by. By setting a lower priority, you will pick up the Stop in the window only if it is efficient to the overall route.
Availability is a type of schedule that recurs weekly.
If you have a Favorite that is only open on specific times and/or days of the week, add Availability. For example, you might need to visit clients at a medical center that is only open M-F from 10am to 3pm. When you add Availability, your route will be optimized so that you will stop there only when it is open. If you are creating a route on a day or time when it is not available (in this example, on Sunday), the Stop pin will display with an X and it will not appear on your route if you try to optimize the route.
To add Availability, access your Favorite through the Favorites section of the left hand side bar. Click on the Favorite to open it and select Manage Availability.
You can also access the Availability from the Map or List View by clicking on the favorite and selecting View Favorite.
After selecting Manage availability, you will see a list of your favorite's current availability, and also the ability to add a new availability.
To add Availability, the Stop must be a Favorite. To make a Stop a Favorite, just click on the pin and click Add Favorite.
TIP: You can upload addresses as Favorites from an Excel (.XLSX) file or CSV file. Learn how here.
